How to fill out and sign a freelancer NDA as a PDF

To handle a freelancer NDA as a PDF, open a mutual NDA template or the one your client sent, fill in the blanks, add your signature with a PDF signing tool, and send the signed file back. Read every term first, because a PDF tool cannot judge what is fair.
A new client sends you a non-disclosure agreement before the first call. Or you want one in place before you share a plan with a possible partner. Either way, you need to fill it in, sign it and return it, and a printer should not be part of that.
This guide covers the PDF work: filling in and signing an NDA, and keeping clean copies. It is general information, not legal advice. It cannot tell you whether an NDA is fair, whether it can be enforced where you live, or whether you should sign. For that, ask a lawyer.
Mutual or one way?
In a mutual NDA both sides share information and both promise to protect it. In a one-way NDA only one side is bound. You may be handed either kind. If the client sent their own document, you will sign theirs. If you want to start one yourself, the mutual NDA template is a fillable PDF with room for both parties.
What the template asks for
- The effective date and the governing law, which is the state or country whose rules apply. Type the one you and the other side agree on.
- The name, email and address of each party.
- The purpose of sharing information. Write it in one line, since a clear purpose makes the promise easier to follow.
- How many years the confidentiality lasts, and the term of the agreement.
- Seven numbered terms, which are already written, and a signature and date for each party.
The seven terms cover what counts as confidential, how it may be used, what is not covered, who owns it, what happens when the agreement ends, how long the promise lasts and a short whole-agreement line. Read them all. If you do not understand one, do not sign it yet.
Fill it in and sign it in five steps
These steps use Fill PDF and Sign PDF, which run in your browser, so the agreement is not uploaded.
- Open the template and choose Fill it in free, or open the NDA your client sent in Fill PDF.
- Type the date, the parties and the purpose. Check that each name matches how the party is named elsewhere, such as on your invoices.
- Save a flattened copy, so the typed answers are part of the page and look the same on the other side.
- Open the saved copy in Sign PDF. Draw, type or upload your signature, place it on your signature line and add your date.
- Download the signed file and send it to the other party, who signs the same file or returns their own signed copy.
Passing it between two people
Two signatures on one file is the tidy result. The simple way is to sign first, send it, and ask the other party to add theirs to the same PDF and send it back. Any PDF signing tool can do that.
If the other party signs a separate copy, keep both, and join them into one file with Merge PDF so the agreement and both signatures live together.
Sign PDF places a picture of your signature. It is not a certificate-based digital signature, which keeps a verifiable record of who signed and when. Whether a signature like this is accepted depends on the document and the rules where you live, so ask the other side what they need. If you want clients to sign through a link and keep a record, that is a different kind of tool. PDFinish has one: Request Signatures is included in Pro.
Mistakes that cause trouble
- Signing before you read. Take your time with the terms, especially the length and what counts as confidential.
- A blank date or a blank name. Check both signature blocks before you send.
- Changing the text after one party has signed. If a word changes, both sides should sign the new version.
- Sending a photo of a printed page. A PDF you filled in and signed is clearer and searchable.
- Losing track of the final version. Name the signed file with both parties and the date, such as NDA-Alex-Northfield-2026-10-26.pdf.
Keep it safe
An NDA is a private document. Save the signed copy somewhere you will find it later, and keep the unsigned original beside it. If you email the signed file, you can lock it with Password Protect PDF first and send the password by another route. Nobody can recover a forgotten password, so keep an unlocked copy.
A worked example
A freelance developer is about to share a rough product plan with a founder. She opens the mutual NDA template, types the date, both names and a purpose of one line, and saves a flattened copy. She signs it on her phone and emails it to the founder.
The founder signs the same file and returns it. The developer saves it as NDA-Developer-Founder-2026-10-26.pdf and keeps the blank original. Only then do they talk about the plan.
A short checklist
- Read every term, and ask a professional if you are unsure.
- Names, date and purpose filled in.
- Flattened before signing.
- Both signature blocks filled in.
- One clearly named signed copy saved, plus the blank original.
Filling in any template is free with no account, and your 2 free uses in total need no account either. More agreements and invoices for self-employed work are on the freelancers page.
Questions people ask
Can a freelancer fill out an NDA as a PDF?
Yes. Open the NDA in a PDF form tool, type the blanks, save a flattened copy and add your signature with a signing tool.
Is a mutual NDA different from a one-way NDA?
In a mutual NDA both sides share information and both are bound to protect it. In a one-way NDA only one side is bound.
Is a typed or drawn signature on an NDA legally valid?
That depends on the document and where you live. This is general information, not legal advice, so ask the other side what they accept and check with a lawyer for anything important.
Can PDFinish tell me whether to sign an NDA?
No. We only help with the PDF work. Read the terms yourself and ask a lawyer if you are unsure.
How do I keep a signed NDA safe?
Save the signed copy with a clear file name, keep the blank original beside it, and lock any copy you email with a password.
