PDFinish

Quotes, invoices and signed forms for your small business

Fill in a quote or invoice, sign vendor and customer forms, then merge and shrink the files into one packet. The tools on this page run in your browser, so your files are not uploaded.

Free to try: 2 tasks a day with no account, 10 with a free account. Each tool step counts as one task. For no limits, Pro is $2.99 a month or $24 a year, and you cancel in one click.

General information only. This is not tax, legal or accounting advice. Tax forms are yours to fill in with Fill PDF. PDFinish does not choose a form for you or tell you what to enter.

The paperwork you handle, job by job

  • Quote and invoice

Price the work with a quote, then bill it with an invoice. Fill in your business details and line items, save a clean PDF, and compress it if it is too big to email. The templates do not add up totals yet, so check your sums before you send.

Start from the Project quote or estimate template or the invoice template. Tools: Fill PDF, Compress PDF.

  • Fill and sign forms

Open a vendor form or a work order, type into its fields, and add your signature. If a PDF has no fields, Fill PDF says so, and Edit PDF lets you type anywhere on the page.

Tools: Fill PDF, Sign PDF, Edit PDF.

  • Close the month

Put invoices, statements and receipts into one file for the owner or your bookkeeper. Add page numbers, then compress the file if it is too big to send. Keep the default Balanced setting for anything with text.

Tools: Merge PDF, Add Page Numbers, Compress PDF.

  • Receipts for customers

Give a customer a record of a payment in a minute. Fill it in, save it, and merge it behind the invoice if you want one file.

Start from the Payment receipt template. Tools: Fill PDF, Merge PDF.

Pro

One clear price when you want no limits

Start free: 2 tasks a day with no account, 10 with a free account, and files up to 50 MB. Each tool step counts as one task, so a quote, a signature and a compress is three.

Pro is $2.99 a month or $24 a year ($2 a month). It gives unlimited tasks, files up to 500 MB and batch mode (several PDFs at once) in Compress, Rotate, Page numbers, Watermark and Protect. Cancel in one click from your account page. We email you 7 days before a yearly renewal and 3 days before a monthly one, so a charge never surprises you. Sales tax, where it applies, is added at checkout.

Prefer to pay once? The Lifetime founder deal is $50, limited to 500 seats, and covers all current and future Pro features. Sending documents for signature will be a separate add-on and is not included.

Send a quote for a customer to sign: coming later

Today you can sign your own copy. We are building a way to send a document to a customer and have them sign online. It will be a paid add-on, and it is not ready yet. Join the waitlist and we will email you once, when it opens.

We use your email only to tell you when Request Signatures is ready. See our privacy page.

Questions, answered

Is this tax, legal or accounting advice?

No. PDFinish gives you tools and general-purpose templates. Check the rules that apply to you, or ask an accountant or a lawyer, before you rely on a document.

Can I fill in a vendor form like a W-9?

Yes, you fill it in yourself. Open the PDF in Fill PDF and type into its fields. PDFinish does not supply tax forms or tell you what to enter.

Do the quote and invoice templates add up the totals?

Not yet. You type the amounts and the total yourself, so check your sums before you send a document.

Are my customers' files uploaded?

No. Fill, Sign, Merge, Compress and Page numbers run in your browser, so the file stays on your device. The exceptions are Word, Excel and PowerPoint to PDF, which upload the file to our server and delete it when the conversion finishes. The page tells you before you start.

What do the templates cost?

Your first 3 templates are free once you sign up with an email address. Every template is included with Pro.

Can my customer sign through PDFinish?

Not yet. You can sign your own copy now. Sending a document for a customer to sign is a planned paid add-on, and the waitlist on this page is how you hear first.

How do I make the month-end packet small enough to email?

Merge the files into one PDF first, then open Compress PDF and keep the default Balanced setting. Balanced shrinks the photos in the file and leaves your text sharp and selectable. A packet with few photos may not get smaller, and Compress says so. Strong turns pages into pictures, so it suits photo scans, not invoices or forms.
