# What is a flattened PDF?

> A flattened PDF is a PDF where form answers, comments, stamps or signatures have been merged into the page itself. They look the same everywhere, but they can no longer be edited as separate fields or marks.

You may have met the word when a form said "flatten before sending" or when a program offered Save as flattened PDF. It sounds technical, but the idea is simple. This guide explains what flattening does, why people do it, what you lose and how to do it without surprises.

## What a PDF has besides the page

A PDF page is a fixed drawing of text and pictures. On top of that drawing, a PDF can carry extra things that are separate from the page. The PDF specification (ISO 32000) calls two of them interactive form fields and annotations. For the basics, see [what a PDF is](https://pdfinish.com/learn/what-is-a-pdf) and the [history of the PDF standard](https://pdfinish.com/learn/pdf-history-and-versions).

- Form fields are the boxes you type in, the checkboxes and the dropdown lists.
- Annotations are marks added on top, such as comments, highlights, stamps and notes.
- Signature marks you placed on the page may also be kept as separate objects, depending on the program.

Because these live apart from the page, they can be changed later. You can retype an answer, move a note or delete a highlight. That is useful while you work and risky once you send the file.

## What flattening does

Flattening takes those extra objects and draws them into the page, so they become part of the page. After that, a typed answer is just text on the page. A checked box is just a drawn check. There is nothing left to click.

Think of a filled paper form that you photocopy. The copy shows your handwriting, but the ink is part of the page now. A flattened PDF behaves like that copy, except it stays crisp and, in most cases, the text is still selectable.

## Why people flatten a PDF

- It looks the same everywhere. Some viewers do not show form fields correctly, especially on phones or in email previews. A flattened file shows your answers in all of them.
- It stops accidental changes. The person who receives it cannot retype your answers by mistake.
- It helps with printing. Some printers skip form fields. Flattening makes sure your answers print.
- It keeps a record. A flattened copy of a signed or completed form is a stable version you can file.

## What flattening does not do

People sometimes expect more than flattening gives. Be careful with these three points.

- It does not make the file secure. A flattened PDF can still be copied, printed or edited by someone with the right tool. If you need a password, use [Password Protect PDF](https://pdfinish.com/protect-pdf).
- It does not reliably remove hidden information. Do not use flattening to hide something. Text under a black box may still be in the file.
- It is not a legal or compliance step. Whether a flattened or signed file is accepted depends on who asked for it. This is general information, not legal advice.

## How to tell if a PDF is flattened

Open it and click on an answer. If a cursor appears and you can retype the text, the form is still fillable. In many viewers, fillable fields also show a colored highlight for a moment when you open the file. If clicking does nothing and the text selects only as ordinary page text, the file is probably flattened or was never fillable.

## Flatten a filled form in four steps

These steps use [Fill PDF](https://pdfinish.com/fill-pdf), which runs in your browser, so the form is not uploaded.

1. Open your form in Fill PDF. Drop it onto the page or choose it from your device.
2. Fill in every field and read your answers on the page.
3. Under how to save, choose Flatten instead of keeping the form fillable.
4. Download the new file. Open it and check that every answer shows.

Keep your fillable copy as well. Once flattened, the new file's answers cannot be changed as fields, and there is no dependable way to turn them back into form fields. Save the flattened file under a new name so you do not overwrite the one you can still edit.

## Flatten or print to PDF?

You can also make a flat copy by printing a PDF to a new PDF. That works, but it often costs you things. The new file may lose links and bookmarks, and in some programs the text becomes a picture, so it is no longer searchable. Flattening in a tool that keeps the page as it is preserves the text.

## A short example

A tenant fills out a rental application on a phone and emails it to a landlord. The landlord's email preview shows empty boxes. The tenant opens the form again, chooses Flatten when saving, and sends the new file. Now every answer shows in every viewer.

## A short checklist

- Fill in every field before you flatten.
- Choose Flatten when you save.
- Name the flattened file differently from the fillable one.
- Open the result and check every answer.
- Keep the fillable copy in case you need to change something.

If you need a form you can edit again, see the guide on [how to fill out a PDF form](https://pdfinish.com/blog/how-to-fill-out-a-pdf-form). Free files can be up to 50 MB.

## Common questions

### What does it mean to flatten a PDF?

It means merging form fields, comments and similar extra objects into the page itself. They look the same, but you can no longer edit them as separate fields or marks.

### Can I unflatten a PDF?

Not reliably. Once answers are drawn into the page, there is no dependable way to turn them back into form fields. Keep a fillable copy before you flatten.

### Is a flattened PDF secure?

No. Flattening stops casual edits to form fields, but the file can still be copied, printed or edited with other tools. Use a password if you need to restrict opening it.

### Does flattening make text unsearchable?

Usually not. A proper flatten keeps text as text. Printing to a new PDF is more likely to turn text into a picture.

### Why does my form look empty in my email preview?

Some previews do not draw form fields. Flatten the form and send that copy, and your answers show everywhere.
